Prepare for Your Retreat

If you are bringing your group to Alto Frio for a retreat, we have provided a simplified list to help you keep track of what you need to make your retreat a success.

 

Step 1: Booking

To book your retreat you will need

  1. A signed contract

  2. A deposit. A standard deposit is $20 per person attending.

Step 2: Providing Details

All Retreats will need to provide:

  1. Conference room setups - 2 weeks before event

  2. Audio/visual requests - 2 weeks before event

  3. Event Schedule - 2 weeks before event

  4. Final numbers - 1 week before event

  5. Housing List - first and last name of each person in each room - 1 week before event

  6. Remember to bring twin sized bedding and towels for anyone staying in a Dorm
    (Cypress 1-12, River Bluff 1-8, Rollins 101-106, 119, 135, 211, 301, 341, 401, 501)

OUTSIDE OF SUMMER MONTHS ONLY

  1. Medical Information & Release Form - 1 week before event

    Anyone staying at the camp must complete this form at least one week prior to arrival.

DURING SUMMER MONTHS ONLY

  1. Complete the Camp Checklists. Camper, Sponsor, and Group Leader Checklists are available to help you make sure everyone has completed all necessary paperwork and steps prior to arrival.

 

Step 3: When You Arrive

Once you arrive, you’ll need to provide

  1. Final Payment

Step 4: When You Leave (Check Out Procedures)

  1. Return any room keys

  2. Gather any equipment, materials, or other items you brought

Hotel Rooms

  • Place all used towels & washcloths in the bathtub.

  • Place all blue makeup towels in the sink.

  • Remove used linen from bed and pillows and place in a pile on the floor.  Fold comforter on bed.

  • Remove all trash and place it in garbage cans at the end of buildings (Rio Frio) or outside of buildings.

  • Turn off AC/Heat and lights.

Dorm Rooms

  • Complete the dorm room checklist located in each dorm.  

  • Remove all trash and place in garbage cans outside of buildings. 

  • Turn off AC/Heat and lights.

Meeting Space

  • Remove all trash and place in garbage cans outside of buildings. 

  • Stack chairs in stacks of 7.

  • Break down all tables and put them along the wall.

  • Clean up space.

  • Turn off AC/Heat and lights.

Kitchen

  • Remove all food from the refrigerator and kitchen.

  • Remove all trash and place in garbage cans outside of buildings. 

  • Leave the kitchen clean.
